Rollout overview (30/60/90 days)
Summit Sherpa (tenant/renters insurance compliance tool) is designed to help property teams standardize proof collection, verification, exception handling, and reporting at portfolio scale. Compliance tracking is Canada-wide.
Quebec note: Summit doesn’t place tenant insurance in Quebec. If you have Quebec properties, we can coordinate placement through partner brokers/carriers while still supporting compliance tracking.
This page is an operational rollout checklist—not a replacement for your compliance policy. For enforcement operating model details, see Turnkey enforcement and Renters insurance compliance.
Who this implementation plan is for
-
Portfolio operations and compliance owners
-
Property managers and site administrators
-
IT / data teams responsible for PMS connectivity and exports
-
Risk management and legal (lease language alignment)
-
Finance/accounting stakeholders (if charges or fee lines are part of your program)
What you can do in Sherpa during rollout
-
Define portfolio standards and what qualifies as acceptable proof
-
Onboard rosters from your PMS (direct integrations: Yardi and Entrata)
-
Set up verification statuses, exception workflows, and audit-ready documentation
-
Establish reporting cadence and internal SLAs for site teams
-
Connect event-driven updates (where supported) using existing export/webhook patterns
30/60/90-day checklist
First 30 days: foundation + pilot readiness
Program design and decisions
-
Confirm scope: properties, lease types, student vs. conventional, move-in seasonality
-
Confirm minimum standards: liability limit, proof type(s), renewal cadence, and any required additional interest wording
-
Define the enforcement posture: reminders only vs. escalation steps (reference: Turnkey enforcement)
-
Confirm geographic scope and comms, including how Quebec placements will be handled (see Quebec note above)
Data onboarding
-
Select PMS connection path:
-
Direct integration: Yardi or Entrata
-
Other PMS: exports/webhooks (see Tenant insurance webhooks & CSV)
-
Identify the roster “source of truth” for: property, unit, lease dates, resident contacts
-
Define update frequency (daily/weekly) and cutover plan (pilot → rollout)
Operational setup
-
Define roles in Sherpa (who can review, override, export, and administer)
-
Create an exception-handling SOP (what gets rejected vs. overridden) (see also Real-time verification & lapse alerts)
-
Draft resident communications templates (initial request, reminders, rejection reasons)
Pilot readiness outputs
-
Pilot property selected and roster loaded
-
Standard templates approved
-
Exception reasons and escalation paths agreed
Days 31–60: pilot execution + tuning
-
Run the pilot with real resident proofs and a defined SLA for review
-
Track common exceptions (mismatched unit, missing dates, insufficient limits) and tune rules
-
Validate reporting: compliance rate definitions, exception aging, and activity logs
-
Confirm your escalation workflow aligns with lease language and local practice
-
If using exports/webhooks, validate data quality and retry/error handling (see API & integration guide)
Days 61–90: portfolio rollout + governance
-
Expand onboarding by region/property group (staggered rollout reduces site-team load)
-
Train site teams on:
-
how to interpret statuses
-
what to do with each exception type
-
how to document decisions for audit readiness
-
Establish governance:
-
weekly operational review (exceptions aging, lapse trends)
-
monthly owner report (portfolio compliance, at-risk properties)
-
quarterly standards review (minimum limits, documentation requirements)
Common pitfalls (and how to avoid them)
-
Unclear acceptance criteria: write down what “verified” means (required fields, acceptable proof)
-
Inconsistent overrides: require rationale entry and periodic review of override patterns
-
Data drift from PMS: set a roster refresh schedule and reconcile move-ins/move-outs
-
Over-communicating: use a defined cadence and suppress messages when proof is already in review
FAQ
Do we need to roll out all at once? No—Sherpa deployments commonly start with a pilot and expand in waves.
What integrations are available? Direct integrations: Yardi and Entrata. Other PMS connectivity is typically supported via exports/webhooks where available in your environment (see Tenant insurance webhooks & CSV).
Does Quebec change the rollout? Sherpa supports compliance tracking Canada-wide. (See the Quebec note above.)
